Booking Terms & Conditions
And now for the small print!
We have tried our best to keep this section simple but, at the same time, letting you have important information about making a booking with us.
Booking
Booking is only direct with us. You therefore do not pay any commission to large Online Travel Agents (OTAs) as part of your booking!
Providing you are over the age of 18 we will accept a provisional booking by telephone or email and will hold this for 5 days but your booking will not be accepted until we receive the non refundable deposit of 20% and properly completed booking form, that must include the full address and contact number of the person booking and each guests full name. We will send you confirmation of your booking by email. If the booking is made within 8 weeks of arrival then the full amount is payable at the time of booking. We reserve the right to refuse any booking without giving a reason.
Final Balance
This is due 8 weeks prior to your arrival and the date will be set out in your booking confirmation. If your payment is not received by the due date then we may treat your booking as a cancellation and your deposit will be forfeited.
Payment method
You can pay by bank transfer (our preferred method) or via our online payment facility. You are responsible for any bank transaction charges. When paying online we can accept credit and debit cards, but not American Express. We do not accept cheques.
VAT
The price published will include any applicable VAT. If the rate of VAT alters or the Government imposes any other charges or levy on our business that effects our costs at any time before or after you have made your booking, then we reserve the right to add these costs onto the cost of your holiday. Booking changes/cancellation
Please call us to discuss if you want to make any changes to your booking. We will do our best to help you but changes may not be possible. Your deposit is non refundable if you need to cancel your booking. If you cancel within 8 weeks’ of arrival you will remain liable for the full rental charge. However, if we are successful in re-letting the property for any of the rental period that you booked then we may, at our discretion, re-pay your rental to you less your deposit and any direct costs incurred in finding a new guest. We strongly recommend that you consider taking out holiday cancellation insurance. You cannot sublet or transfer your booking to another person/s.
Non-availability of the property
If we have to close the property temporarily because of government or local authority instructions (e.g. because of a health pandemic) then we will be able to move your booking to an alternative date, within 12 months of your original booking or offer a refund, inline with government guidance. We strongly recommend that you take out holiday cancellation insurance to cover this situation.
In the unlikely event that we have to cancel your booking for any other unforeseen reason we will give you as much notice as possible but, in any event, you will receive a full refund of your deposit and any final balance paid.
Pets
Up to 2 well-behaved dogs are welcome in Lovage, 1 dog in Meadowsweet and 3 dogs in Hyssop. There is no extra charge. Dogs must not be left alone in your cottage nor allowed upstairs/on beds or furniture. If your dog becomes a nuisance to other guests or the farm animals you will be asked to take it away from the farm. No other animals, such as birds, cats, rabbit or other small animals are permitted.
We do not allow any dogs (or other animals) in Tarragon or Chamomile.
Check in and departure
Check in is anytime between 4pm and 7pm on your arrival day. Please let us know what time you expect to arrive so we can be ready to welcome you and show you your cottage. Arrival after 7pm is absolutely fine, by prior arrangement.
Departure is by 9.30am on your day of departure; this is to ensure that we can prepare the cottage properly for the next guests. Please let us know if you plan to leave early.
Use of the cottage, premises and our facilities
Nethway is a working farm so please familiarise yourself with the practical details and health and safety instructions set out in the Guest Information folder in your cottage. Guests are welcome to use all the facilities but do so at their own risk.
All facilities on the farm are for the sole use of our guests and are maintained to the best of our ability. Please be aware of guests in other cottages and let us know should you find anything broken.
You must not invite anyone else to stay or use the facilities who is not a member of your booked party.
Please take good care of the cottage and leave it in a clean and tidy condition at the end of the holiday.
We reserve the right not to hand over the accommodation to anyone who in our reasonable opinion is not suitable to take charge of it. In such cases the rental less the deposit will be refunded. If, in our reasonable opinion, any guest is not suitable to continue their holiday because of behaviour, damage to property, danger or annoyance to others, they will be asked to leave and no refund will be given.
Wood burning stoves
We provide free wood for the stove in your cottage.
Swimming pool and lake
The pool is used at your own risk and no lifeguard is present. By using the pool you are accepting the conditions of use set out in the Guest Information app. The lake is fenced off at the far end of our valley, accessed via a kissing gate. Please make sure children are supervised at all times.
Utilities and Wi-Fi
Electricity and Wi-Fi is provided as part of the cottage rental. You will need to activate wifi calling on your phone in order to make and receive calls whilst you are here. The wifi is fine for internet browsing, video watching, emails and “zoom” calls.
EV charging is being installed in 2023. At no time is charging via an extension lead into the cottage allowed. The nearest fast EV charger is at Lidl supermarket TQ4 7RZ.
Damage, Breakages and cleaning
Please tell us during your stay if you have caused any breakages or damage, caused by you, members of your party or your dog(s). We reserve the right to ask you to pay for any damage, breakages or special cleaning needed.
Our right to enter your cottage
We reserve the right to enter the cottage premises at any time should we need to do so and where we consider it necessary. We will of course endeavour not to intrude upon your privacy but this will be at our discretion.
Smoking/Vaping
This is not permitted inside the cottages or the shared indoor facilities. Please respect other guests and general fire risks if you are smoking/vaping outside. A sand bucket is situated at the far side of the car park to dispose of cigarette butts.
Your personal property
We are not responsible for the personal property of guests during or after the rental period. If you leave any items behind when you depart we will be happy to return these to you if we find them. You will need to contact us to request this and there will be a charge for any postage/courier service needed, before the items returned. Any lost property that we find after your departure will be kept for 2 weeks and then, if not claimed, will be disposed of or sent to charity.
Matters beyond our control
We cannot be held responsible for matters beyond our control, such as noise, disturbance resulting from building works, annoying neighbours, disruption to supplies by utility providers or closure of amenities listed in the property description.
Problems or complaints
Please don’t be British! Do tell us during your stay if you encounter any problems or have any questions/complaints, so that we can do our very best to solve things straight away. Please don’t wait until you return home.
Liability
We cannot accept responsibility or any liability for accidents, injury or sickness and loss to guests/visitors or damage to their property during your stay.
Privacy Notice/Data protection
Any information provided to us by you will be stored by us but only be used in connection with your enquiry or booking and will not knowingly be shared with anyone else except for the proper administration of our business or unless legally obliged to do so. Your data will never be sold. We will not store your data for longer than is necessary. Please refer to our Privacy Policy.
General
Our details are correct when published but we reserve the right to change our details from time to time. If anything is especially important to you then please check with us before booking.
